Summary
Missing a SaaS auto-renewal is almost never a “we forgot the invoice date” problem. It is a missed notice window: expiration minus the days the order form requires, with a named owner, before counsel sends opt-out.
The longer guide is How to not miss a SaaS auto-renewal. This post is the short loop.
The loop
- Put the signed order form in a system of record (DocuSign intake or upload).
- Store term end, notice days, and method (email, portal, mail).
- Assign a legal ops or procurement owner.
- Work a 90-day queue: renew, negotiate, or terminate.
- If terminating, draft notice for counsel, send it the way the contract requires, file proof.
Contrax runs that loop. It does not email the vendor for you.
What not to use as the control plane
- ChatGPT on a PDF (why not ChatGPT)
- A spreadsheet once you have multiple owners (spreadsheet vs software)
- SAM tools alone if the failure is the legal notice clause (Contrax vs Torii)
